Job Title: Business Support Officer We are looking for a committed Business Support Officer to join our team, playing a crucial role in supporting the Directorate Manager and the wider management team. This position involves operational support, stakeholder collaboration, and flexible working to ensure the smooth running of the Business Support function. Key responsibilities include managing the Directorate Manager’s diary, supporting RTT targets, maintaining project plans, developing a web presence, and enhancing feedback systems. The role also involves line management, handling complaints, conducting audits, and overseeing stock control, expenses, and procurement. The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply. Main duties of the job Diary Management: Manage the Directorate Manager’s diary commitments and coordinate key meetings with senior staff, including organisation of workshops, operational and MDT meetings across service groups. RTT Targets: Support the delivery of key RTT targets. Project Management: Maintain action logs and project plans in collaboration with the Directorate Management Team. Web Presence: Engage in developing a web presence for the Directorate(s). Feedback Systems: Enhance and expand the roll-out of PREMS to gather feedback about services. Line Management: Oversee the secretarial resource, allocating/reallocating work as necessary. Providing feedback and training according to agreed performance metrics. Complaints: Undertaking initial investigation and drafting responses to complaints received. Informally resolving complaints where rapid & early-resolution process is applicable. Audits & Information: Undertake complex audits of the service(s). Analyse and provide relevant summary information to operational management teams. Stock Control, Expenses & Procurement: Ordering of stock and equipment. Co-ordinating with Procurement teams to ensure that service contracts etc. are maintained at agreed levels. Act as delegate approver for travel & study expenses, verifying claims and confirming that all processes have been followed.
