JOB TITLE : HR Assistant TEAM : Human Resources HOURS : 9:30am – 5:30pm with one hour for lunch. A flexible approach to working hours is a must, overtime may be required at busy times. LOCATION : Office based, 5 days a week REPORTING TO : Head of HR The HR Assistant plays a crucial role in providing operational HR support to the Firm. They serve as a trusted advisor to both employees and management, ensuring that HR policies and practices are effectively implemented across the Firm. The HR Assistant is responsible for handling a wide range of HR activities, including administration, reporting, employee relations, performance management, and HR processes. KEY RESPONSIBILITIES : Managing all HR related systems (IRIS HR, iManage), trackers, and templates Facilitate the on-boarding and off-boarding processes ensuring a smooth transition and compliance with relevant policies and procedures Inputting monthly payroll always ensuring accuracy Drafting letters, contracts and keeping track of any changes Completing all administrative tasks associated with benefits, perks, leave, background checks, internal communications, and employee initiatives Manage HR inbox Act as first point of contact for all employees Provide guidance and support to employees and managers on HR policies and procedures Manage employee absence levels and escalate to Head of HR if required Monitoring and assisting with probationary reviews and appraisals Coordinate and administered all study support, visa sponsorship, season ticket loans, purchase of holidays and work experience Support Health & Safety activities and training within the Firm Updating the HR pages on the Intranet Assist in the development, implementation, and interpretation of HR policies and procedures Stay up-to-date with employment legislation and ensure compliance with applicable laws and regulations Prepare HR reports for management, highlighting key findings and providing recommendations for action Maintain HR and recruitment systems / databases and contribute to its implementation and developments Assisting with recruitment campaigns The above is not an exhaustive list of duties, and you will be expected to perform different tasks as necessitated by your changing role within the Firm and the overall business needs. KEY QUALIFICATIONS, SKILLS AND ATTRIBUTES : Excellent organisational skills with the ability to manage a busy workload under pressure Excellent attention to details Good numerical skills Excellent communication skills, both written and verbal, with the ability to write clear and professional communications A self-starter who demonstrates initiative and problem-solving skills Professional manner, proactive approach to work and a team player Previous HR experience within a law firm would be advantageous but not essential CIPD qualification level 3 or 5 diploma Proven experience in an HR support role with at least 3 years’ experience, with a strong understanding of HR best practices Excellent interpersonal skills, with the ability to build relationships at all levels Sound knowledge of employee relations processes and practices Ability to handle confidential information with discretion and maintain a high level of professionalism and integrity Proficiency in HR software and systems, as well as Microsoft Office Suite Our aim is for all staff to feel welcomed at Sheridans and ultimately be their true self at work.
