Main Purpose Under the direction/guidance of the office manager; provide general administrative/financial support to the school. Duties and Responsibilities Organisation • Undertake reception duties, answering general telephone and face to face enquiries and signing in visitors • Assist with pupil first aid/welfare duties, looking after sick pupils, liaising with parents/staff etc. • Assist in arrangements for school trips, events etc. Administration • Provide general clerical/administrative support e.g. photocopying, filing, faxing, completing standard forms, responding to routine correspondence • Maintain manual and computerised records/management information systems • Produce lists/information/data as required e.g. pupil data • Word-processing and other IT based tasks • Sort and distribute mail • Undertake administrative procedures • Maintain and collate pupil reports • Undertake routine administration of school lettings and other uses of school premises Resources • Operate relevant equipment/ICT packages (e.g. word, excel, databases, spreadsheets, Internet) • Maintain stock and supplies, cataloguing and distributing as required • Operate ‘shops’ within the school • Provide general advice and guidance to staff, pupils and others • Undertake general financial administration where appropriate Safeguarding • Be aware of and comply with safeguarding responsibilities as outlined in the school’s Staff Code of Conduct and related policies and procedures. Data Protection and other statutory responsibilities • Be aware of and comply with data protection responsibilities as outlined in the school’s Staff Code of Conduct and related policies and procedures. Professional development • Help keep knowledge and understanding relevant and up-to-date by reflecting on your own practice, liaising with school leaders, and identifying relevant professional development to improve personal effectiveness • Take opportunities to build the appropriate skills, qualifications, and/or experience needed for the role, with support from the school Other Responsibilities • Comply with and assist with the development of policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person. • Be aware of and comply with all school policies and procedures • Be aware of and support difference and ensure equal opportunities for all • Contribute to the overall ethos and aims of the School and Trust • Appreciate and support the role of other professionals • Attend and participate in relevant meetings, training and learning activities as required The postholder may be required to carry out any other duties that the Headteacher feel is commensurate with the post.
